Who we are
Kind Regards (a working name; the company is not yet registered) provides review reply drafting, review insight and fix lists for hospitality businesses. Contact: The owner, the account manager. We will register with the ICO before launch.
What we collect
- From venues: your name, work email, phone for alerts, venue details and your house voice notes.
- Public reviews: the text, rating, reviewer display name and date of reviews posted publicly about your venue on Google, and Tripadvisor review emails you forward to us.
- Reply Sample form: venue, name, email and an optional link.
- Desk Notes: your email, only if you tick the box.
Why, and on what basis
- To provide the service you signed up for (contract).
- To reply to your Reply Sample request (your request; legitimate interest).
- To send Desk Notes (consent; unsubscribe in one click).
- To keep accounts and tax records (legal obligation).
What we never do
- We never contact your guests or reviewers.
- We never sell data or share it with advertisers. Advertisers see totals only.
- We never post a reply to a 1★ to 3★ review without your approval.
Who helps us
An AI model provider (to draft replies), Google (Business Profile API), an email provider and an SMS provider. Each processes data under a written agreement.
How long we keep it
Review data while you're a client and for 90 days after. Accounts records for 6 years. Reply Sample requests for 6 months unless you sign up.
Your rights
You can ask for a copy, a correction, deletion, or to object. You can complain to the ICO at ico.org.uk.
